A wedding CRM (customer relationship management software) is the system a wedding business uses to keep track of every enquiry, client, quote, booked date and payment in one place. Instead of a diary, an Excel sheet and fifty WhatsApp chats, you open one app and see who asked, what you quoted, which dates are taken and who still owes you money.
Why wedding businesses need a different kind of CRM
General sales CRMs are built for companies that sell the same thing every day. Wedding work is different:
- Dates sell once. A muhurtham date can be sold to one couple only, so the CRM must know your availability.
- Money comes in parts. Advance on booking, balance before the event, sometimes three or four instalments.
- Clients live on WhatsApp. Quotes and reminders need to go where your clients already are.
- Tax matters. In India, quotes and invoices need GST and payment details like a UPI ID.
- Events run over days. Haldi, mehendi, sangeet, wedding and reception can be one order.
- Seasons are short and busy. Most of the year’s work lands in a few months of muhurtham dates, so you cannot afford to lose an enquiry in a busy week.
What a wedding CRM does, step by step
- Capture the lead. Log every enquiry from Instagram, WhatsApp, Facebook, your website or a walk-in, with the event date and occasion.
- Check the date. See straight away whether you are free, limited or full on that day.
- Send a quote. Price from your own services, add GST, and share a link or PDF on WhatsApp.
- Follow up. See which quotes are still waiting, and nudge the client before the date goes to someone else.
- Convert to an order. When the client agrees, the lead becomes an order and the date is held on your calendar.
- Collect payments. Set advance and balance with due dates, record each payment and send reminders.
- Run the day. See today’s and this week’s events and call or WhatsApp the client in one tap.
CRM, booking app or marketplace?
These three get mixed up. They solve different problems:
| Tool | What it does | What it does not do |
|---|---|---|
| CRM | Organises the enquiries, quotes, orders and payments you already have | Bring you new customers |
| Booking app | Lets customers see your dates and request a booking | Track enquiries that come from Instagram, calls or walk-ins |
| Marketplace | Puts you in front of people searching for your service | Usually stops at the booking; your own clients stay in your diary |
A wedding business needs all three jobs done. The trouble starts when they live in three different places and your dates go out of sync.
Signs you need one now
- You have nearly double-booked a date, or actually done it.
- You scroll WhatsApp to find what you quoted someone.
- A balance payment was missed until after the event.
- Your team calls you to ask whether a date is free.
- You cannot say how many enquiries you got last month, or where they came from.
Who uses a wedding CRM
Venues and banquet halls, wedding planners, photographers and videographers, caterers, decorators, makeup artists, mehendi artists, DJs, pandits, melam groups, and return gift and invitation sellers. The same flow works for birthdays, baby showers, poojas, housewarmings and corporate events. See the pages for venues, photographers, caterers, decorators, makeup artists and wedding planners.
Words you will see in a wedding CRM
- Lead: an enquiry that has not booked yet.
- Quote: the price you send for a lead, with tax.
- Order: a lead that said yes. It holds the date.
- Payment plan: how the total is split, for example 50/50 or 30/40/30.
- Advance and balance: what is paid to book, and what is left.
- UTR: the reference number of a bank or UPI transfer, used to match a payment.
How Wedza does it
Wedza CRM is built into the Wedza Partner app and the web Partner Portal. It covers leads, WhatsApp quotes with GST, orders with payment plans (Full, 50/50, 30/40/30 or your own), payment recording by UPI, bank transfer, cash, card or cheque, one calendar for every booking, and team access with roles. Unlike a plain CRM, Wedza also lists your services in the Wedza app, so customers near you can find and book you. Questions
What does CRM stand for?
Customer relationship management. For a wedding business it means one place for every enquiry, client, quote, booking and payment.
Do small wedding businesses need a CRM?
If you get more than a few enquiries a week, yes. A CRM stops missed follow-ups, double-booked dates and forgotten balance payments, which cost small businesses the most.
Is a wedding CRM the same as a booking app?
No. A booking app helps customers find and book you. A CRM helps you run every enquiry and order, wherever it came from. Wedza Partner does both: your services are listed in the Wedza app, and the CRM handles the leads you get on Instagram, WhatsApp and walk-ins too.
Is there a free wedding CRM?
Wedza Partner is free to download and list, takes 0% commission, and your first 90 days of membership are free.
