Wedding photography quotation format for India (free sample)

A good wedding photography quotation answers the couple’s questions before they ask: what you will cover on each day, what they get and when, what it costs with GST, and how much to pay to book the date. Below is a format built for Indian weddings, where one booking usually means several functions, then a sample you can copy.

The quotation format, section by section

1. Your studio: name, logo, phone, email, address and GSTIN if you are registered.
2. The couple: names, phone number and the quote number and date.
3. Every function, one row each: haldi, mehendi, sangeet, wedding, reception, with the date, venue and hours.
4. Coverage per function: candid, traditional, cinematic video, drone, and how many people from your crew.
5. Deliverables: edited photos (how many, roughly), album (pages and size), highlight film and full film, and when each is due.
6. Price: per function or per package, then subtotal, GST and total. Show GST on its own line.
7. Payment plan: the advance to book the date, the instalments and their due dates, and how to pay (UPI ID, bank details).
8. Terms: what happens if the date moves, travel and stay outside the city, extra hours and raw files.
9. Validity: how long the price and the date hold, for example 7 days.

Sample wedding photography quotation

Deliverables: about 800 edited photos in 4 weeks, a 40-page album after the couple’s selection, a 4-minute highlight film in 6 weeks and the full film in 8 weeks.

Payment plan: 50% (₹1,13,870) to book the dates, 30% on the wedding day, 20% on album delivery. Pay by UPI to yourstudio@upi or bank transfer.

Five mistakes that lose bookings

• One lump sum for the whole wedding. Couples compare per function; give them the rows.
• Hiding GST. A total that grows by 18% after they agree feels like a trick. Show it from the start.
• No dates on deliverables. “Album in 2 months” prevents ten follow-up calls.
• No advance amount. The date is only yours when the advance is in; write the amount and the due date.
• Sending it a day later. Couples ask several studios at once. A clear quote within the hour often wins.
