How to manage wedding photography leads and follow-ups

A lead process for wedding photographers in India: log every Instagram and WhatsApp enquiry, check the dates, quote within the hour and follow up on a schedule.

Most wedding photographers do not run short of enquiries in season. They lose bookings in the gap between “Hi, are you free on the 15th?” and a clear quote, and in the follow-ups nobody sends. Here is a simple process that fits how Indian couples enquire: Instagram DMs and WhatsApp, often for several functions at once.

1. Log every enquiry the same day

Write down the couple’s name and number, every function and its date, the city or venue, the budget if they share it, and where they found you. One list, not five WhatsApp chats and a diary.

2. Check the dates before you reply

Wedding photography is sold by the date. Look at every function date, not only the wedding day. If you are booked, say so at once and suggest a second team or another studio you trust.

3. Quote within the hour

Send a quote with each function as its own row, the coverage, the deliverables, GST and the advance to book. Use the wedding photography quotation format.

4. Follow up on a schedule

  • Day 1: “Did the quote open fine? Happy to walk you through the packages on a call.”
  • Day 3 to 5: share two or three photos from a similar wedding, and ask if they want to change the coverage.
  • Before you release the date: “We have another enquiry for 15 Feb. Shall we hold it for you with the advance?” Only say this when it is true.

More messages you can copy: 20 WhatsApp templates for wedding vendors.

5. Close with the advance, and record why you lost the rest

A booking is real when the advance is in. For leads that go quiet, mark them lost with a reason (price, date, chose another studio). After a season you will know whether to change your packages, your prices or your Instagram.

Running this in Wedza CRM

Wedza CRM for photographers keeps every lead with its functions, dates, source and quote. Leads sit under New, Follow up, Quoted, Ready to convert and Lost, with follow-up reminders. Put your Lead Machine link in your Instagram bio: couples pick a service and a date, see only the dates you are free, and the enquiry lands in your leads with the quote ready to send on WhatsApp.

Lead Machine analytics: people who opened the form, enquired, got a quote and became an order, by source

If your team takes enquiries, give each person their own login and assign leads on the team board, so a DM answered by your editor at midnight is still in the same list. It costs ₹199 for 30 days with every CRM feature.

Questions

Where do wedding photographers get leads in India?

Mostly Instagram DMs, WhatsApp, referrals from past couples and planners, venue tie-ups, wedding marketplaces and paid ads. Note the source of every lead so you know which one books you.

How quickly should I reply to a photography enquiry?

Within an hour if you can. Couples message several studios for the same dates, and the first clear answer with availability and a price often wins.

What if the couple stops replying after the quote?

Follow up on a schedule: once a day or two after the quote, again around day five, and a last time before you give the date to someone else. Stop after that and mark the lead lost with a reason.

Can I see which leads came from Instagram?

Yes. In Wedza CRM every lead has a source (Instagram, Facebook, WhatsApp, website, Lead Machine link, walk-in or referral) and the Lead Machine shows how many people opened your link, enquired and became orders.
